Privacy Policy

Last updated: May 2026

FleetSignal respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, how it is stored, and the choices you have when using FleetSignal.

FleetSignal is designed to help users monitor vehicle-related dates such as MOT, tax renewal and insurance expiry dates. To provide this service, we need to process certain account, vehicle and reminder information.

1. Information we collect

When you use FleetSignal, we may collect and store the following information:

2. How we use your information

We use your information to operate FleetSignal and provide the features you request. This includes:

3. Vehicle data

When you enter a vehicle registration, FleetSignal may use that registration to retrieve or process vehicle-related information. This may include MOT status, MOT expiry information, tax status, make and colour where such information is available.

Vehicle data may come from third-party or public data sources and may be delayed, incomplete, unavailable or inaccurate. FleetSignal uses this data to support reminder and dashboard features, but you remain responsible for checking official sources where accuracy matters.

4. Optional dates and reminder information

You may choose to enter optional information such as tax renewal dates and insurance expiry dates. We use those dates to calculate countdowns, dashboard warnings and reminder alerts.

If you do not enter an optional date, FleetSignal may show that item as not set or not added. We do not intentionally create insurance alerts from missing insurance dates.

5. Email reminders

If alerts are enabled, we may send reminder emails to the email address linked to your account. These reminders may relate to MOT, tax or insurance dates depending on the information saved in your account.

Email reminders are provided as a convenience only and are not guaranteed. Email delivery may fail, be delayed, be filtered as spam, or be affected by technical issues outside our control.

6. Payments and subscription data

Payments and subscriptions are handled by our payment provider, Stripe. FleetSignal may store or receive limited subscription information, such as whether your account has Premium access, the subscription plan selected, billing status and related payment reference information.

FleetSignal does not store your full payment card details. Payment card information is handled by the payment provider according to its own security and privacy practices.

7. Where your information is stored

FleetSignal uses trusted third-party service providers to host, store, process and deliver parts of the service. This may include providers for authentication, database storage, website hosting, email delivery and payments.

We take reasonable steps to protect your information, but no online service can guarantee complete security. You should keep your login details secure and contact us if you believe your account has been accessed without permission.

8. Sharing your information

We do not sell your personal information.

We may share or process information with service providers where necessary to run FleetSignal, including hosting, authentication, database, email and payment services. These providers only receive information needed to perform their role.

We may also disclose information if required by law, regulation, legal process, security investigation, fraud prevention, or to protect the rights, safety and integrity of FleetSignal, its users or others.

9. How long we keep information

We keep account and vehicle information for as long as your account remains active or as long as reasonably needed to provide the service, comply with legal obligations, resolve disputes, prevent misuse, or maintain service records.

If you delete vehicles or request account deletion, we will take reasonable steps to remove or anonymise information where appropriate, unless we need to retain it for legal, security, payment, dispute or operational reasons.

10. Your choices

You can control some of the information stored in FleetSignal by adding, editing or deleting saved vehicles, optional dates and alert settings.

You can disable alerts in your account if you no longer wish to receive reminder emails. Some essential service emails, such as account or payment-related messages, may still be sent where necessary.

11. Your rights

Depending on where you live, you may have rights over your personal information. These may include the right to request access, correction, deletion, restriction or a copy of your personal data.

If you wish to make a privacy request, please contact FleetSignal support. We may need to verify your identity before acting on a request.

12. Cookies and local storage

FleetSignal may use cookies, local storage or similar technologies where needed to keep you signed in, remember basic preferences, support security, or provide core website functionality.

Your browser may allow you to block or delete cookies and local storage, but doing so may affect how FleetSignal works.

13. Children

FleetSignal is not intended for use by children. You should not use FleetSignal if you are not old enough to enter into an account or subscription relationship under applicable law.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make changes, the updated version will be posted on this page with a revised date. Continued use of FleetSignal after changes are posted means you accept the updated policy.

15. Contact

If you have questions about this Privacy Policy or how your information is used, please contact FleetSignal support.
